Managing the Costs of Your VOIP-Based Business Phone System

voip1Business phone systems can save you a lot of money. Many business phone system marketing websites will be quick to tell you how much you can save on your calls. You can save radical amounts, and that is what the more unscrupulous vendors will focus on. A serious vendor will explain in detail the ways you will have to manage your VOIP-based system, or you will not save money, and you could end up with huge costs.

Your traditional calling costs will drop, but you will find you have massive costs in other areas. Understanding the way business phone systems work, and how to fully utilise them so you do save a lot of money is essential. In this article, we look at the ways you should use your business phone system, and how you can minimise the costs of using it.

· Smartphone. Your smartphone can normally be integrated into your business phone system. This will normally require a web-based feature of your business phone system unless your vendor has a separate application for your type of phone. The reality is that not all phones are as good as they say they are. I personally have a big problem with the Nokia Symbian operating system because it constantly crashes and their devices cannot handle internet connections for very long without running out of battery.

The best smartphone is still the iPhone, and many in the smartphone business are looking forward to the multi-platform capabilities of the soon-to-be-released Windows 8 operating system. Windows 8 will be the same operating system for all devices and will make it much easier to integrate every application into a smartphone, because the same applications for your business phone system and person computer will be the same because they run on the same operating system as your smartphone. Keep in mind that having the right phone that can truly handle VOIP, and your business phone system will require a suitable investment.

· Internet Use. Internet use will be one of the biggest costs of your telephone system. You will need a high-speed land-based internet connection in your office. The real danger of extremely high costs will come with the use of mobile applications. 3G wifi can get expensive if you are moving around the world. To save on the costs of your services, it is advised you manage your 3G wifi and data-connection.

Obviously, you need to get the best plan because you will be using a lot of data. At the same time, you should employ a message bank for when you are offline. The smartest users who want to really save when using their mobile with a business phone system will jump from one free wireless hotspot to the next. Free wireless hotspots are common in many airports, hotels, and coffee shops.

· Traditional Calling Integration. There will be cases where traditional calling is still more cost effective. In some countries, local calling is free or at a fixed cost from land-lines. Contrary to common belief, the better business phone systems can integrate both traditional calling and VOIP-based calling. The system will make the decisions for itself, and the user doesn’t even need to know.

If you are not using a VOIP-based business phone system, or you have one and aren’t using it properly, you could very well be wasting a lot of your company’s money.
